Roy Payne
To introduce this month s topic, consider this ...

A study by the Minnesota Pollution Control Agency estimated that the costs of using paper (not including labor) in the office can run 13 to 31 times the cost of purchasing the paper in the first place. The costs of storage, copying, printing, postage, disposal and even recycling add up so the ream of paper that you paid $5 for could actually cost up to $155, and again, that doesn t include all associated labor costs.

If you have paper files, you know that paper is bulky and expensive to store, in boxes or in filing cabinets. But by using fewer sheets, going paperless and/or using eForms and document management technologies, you can save space and money. For example, Owens Corning made all of its offices worldwide paperless. Having had 14,000 filing cabinets around the world, the company has already saved around $30 million in lease costs.

Obviously, organizations need a simple, cost-effective way to capture and track transactions through various processes to successful conclusion. Very significant and tangible savings can be found where electronic forms, or eForms, are deployed in place of paper forms and manual processes. In fact, eForms may still hold the secret to minimizing our dependency on paper.
This issue of The AccuView focuses on making the switch from paper forms to electronic forms to save money (and time and trees, too). We have also included a focus area for several industries, as it relates to that specific industry s use of eForms.
If you re interested in replacing paper with electronic forms and document management, and you would like to calculate the potential return on investment you may expect from an electronic solution, call us at 615.242.7226 to learn more.
C. Additionally, errors caused by incomplete or incorrect data and transcription mistakes can result in further incremental costs and frustrating delays. But capturing and processing information electronically through eForms can reduce costs by as much as 90%. This is why many organizations are looking for ways to automate data capture and processing in order to reduce paperwork, lower costs and increase efficiency. Elimination of dual data entry, rules to enforce accurate completion and reduced printing costs combine to make eForms and web-based data capture solutions a viable, cost-effective way to manage a wide variety of processes.

Document Management ROI Analysis
This article outlines how an electronic document management system can generate a significant return on investment for small to medium-sized businesses. Most government agencies use hybrid business and data forms.
The primary challenge that public sector organizations encounter with forms automation is that the broad base of constituents that they serve have differing interaction capabilities. For example, some constituents can use and prefer electronic forms, while others have to participate in paper-based processes, because of a lack of digital connectivity or aptitude. Therefore, public sector organizations must frequently employ forms that retain the same look-and-feel in both paper and electronic formats. These forms are also frequently required to move back and forth from paper to electronic format during process execution, from initiation by constituents all the way to archiving.
Despite these challenges, however, the move to eForms is a priority for many government agencies.
We need to expedite technology solutions that make government more accessible to the citizens and to invest in electronic operations that save time and money, said a Pacific Northwest county councilmember. Many technological advances are evolving rapidly, and these can provide operational efficiencies and reduce costs as we move up to the next level of operational maturity standards.
The county is in the process of reducing the number of paper forms it uses by migrating to eForms for most business uses, in order to further reduce costs and improve operational efficiencies.
Advancements in electronic security now make it much easier and more practical to create virtual forms rather than to fill out hard-copy forms on paper, said the councilmember. Court and jail records already have implemented excellent electronic systems for filling out forms. Migrating further to electronic recordkeeping will protect the environment, save trees, save storage space, reduce waste, improve accessibility and save money.

What We ve Seen and Heard
Business runs on forms. Without forms, applica-tions for accounts, loans, mortgages or investments would not be successfully processed nor would insurance claims, statements or policies. Organizations in these industries require sophisticated forms automation so that review and approval processes are completed in a timely and accurate manner, and regulatory compliance can be assured and verified. Customer-facing forms are often the main point of interaction and have a major influence on customer satisfaction.
In the financial services and insurance industries, process standards, such as those from ACORD or MISMO, often dictate business form structure and content. The consistent presentation of form elements across processes and organizations is required to ensure compliance with standards. To satisfy the needs of these industries, electronic forms must be able to store information inside the form itself as well as integrate with databases.
eForms offer a variety of benefits by expanding participation, increasing efficiency and meeting regulatory requirements in forms-heavy financial services and insurance companies. Of course, traditional value drivers, such as time and error reduction, still dominate most return on investment calculations for eForms projects, since eForms can help ensure that data is collected accurately and completely the first time (and much more quickly, too). However, eForms are also being recog-nized as an opportunity to reduce waste, generating derivative cost benefits in other areas. Paper usage, for example, is immediately reduced in workflows that implement only eForms.
